Finance Associate

ABOUT THE OPPORTUNITY

Black Farmer Fund seeks a full-time Finance Associate to play an integral role managing the administrative financial operations in support of the Finance Director. This position will provide bookkeeping and general accounting support to the Finance Team, including accounts payable, revenue and expense processing and maintenance of our electronic financial records.

This is a remote, full-time position requiring occasional travel for in-person events and workshops. This position may require work outside of standard business hours (board meetings, org-wide events, etc). The ideal candidate must reside in the Northeast with a preference for applicants residing in the NYC metro area. 

RESPONSIBILITIES

Bookkeeping/Accounting (90%)

  • Process accounts payable and cash disbursement functions and monitor aging payables;

  • Process accounts receivable including generating invoices, tracking payments, and reconciling those items with Salesforce;

  • Process bank deposits from Earth Class Mail, reconcile bank statements and credit card accounts, ensuring financial accuracy and integrity;

  • Process employee reimbursements via Bill.com;

  • Maintain the general ledger recording  revenue, expenditures, and donations in our accounting system (SAGE Intacct);

  • Prepare month-end account reconciliations and journal entries via the accounting system;

  • Monitor and maintain a dedicated email account for accounting/finance related communications;

  • Ensure that 1099’s are submitted accurately to the IRS and maintain orderly filing systems for electronic documentation;

  • Assist with preparing and assembling financial information for annual audit and Form 990 filing;

  • Assist with development of the annual budget;

  • Update fiscal policies and procedures documentation for consistent coordination and execution.

Payroll & Benefits Administration (10%)

  • Provide administrative support to the Operations Team for staff stipends and contractor-related payments in the Justworks HR software system;

  • Track allocations of payroll by class in the accounting system;

Other Duties as assigned:

  • Conduct transaction research as required;

  • Support ad hoc financial reporting as required for staff, funders and board;

  • Respond to requests from Senior Management for support with finance-related administrative tasks;

QUALIFICATIONS

  • Experience and knowledge of accounting and reporting software strongly preferred (SAGE Intacct, QuickBooks Online, Salesforce, Justworks, Bill.com and DownHome Solutions);

  • Proficiency in Microsoft Office Suite – (Excel proficiency is a must), Google Drive and Project Management/Communications tools (e.g., Asana, Slack, Zoom, etc);

Communications Intern

ABOUT THE OPPORTUNITY

Black Farmer Fund seeks a part-time Communications Intern to support our Communications Team in bolstering the administrative functions of the department, maintaining our digital strategy through social media tracking, support with designing communications materials, drafting reports, and providing production support at in-person events. This position will work closely with the Communications Associate and Senior Communications Manager, and will report directly to the Senior Communication Manager.   

RESPONSIBILITIES 

Administrative Support (50%)

  • Update booking request form, media feature, events, and apparel trackers;

  • Order merchandise, business cards, thank you cards, envelopes and other supplies from our vendor;

  • Provide production support at in-person events (e.g. taking pictures, camera setup, managing a step and repeat, etc.): site visits, Community Work Days and other in-person gatherings as needed;

  • Additional responsibilities as assigned

Social Media Monitoring/Reporting (50%) 

  • Analyze metrics across digital media platforms (Instagram, Facebook, Bluesky, LinkedIn, Communications Newsletter) using Meltwater & Later.com; 

  • Report trends to Communications Team during weekly check in;

  • Develop a weekly current events report; Topics to include issues impacting Black Farmers, food security in Black communities, Finance, Wealth Inequities, Agriculture, and other topics relevant to our work in reparative food justice;

  • Conduct research on influencers, events, media relevant to BFF’s mission;

  • Support the Communications Team in designing communications graphics, decks, reports, for internal use;

QUALIFICATIONS

  • Highly organized with the ability to work with precision and meticulous attention to detail;

  • Excellent written and oral communication and interpersonal skills;

  • Ability to work well independently and with others;

  • Self-motivated, strong time management, and creative;

  • A unique perspective on the role and function of communications work within a nonprofit organization that has varied audiences/stakeholders;

  • Persuasive writing that drives others to action and excellent copy editing skills;
